    Our take

    Understanding Todoist.

Todoist is the ultimate to-do list. Starting at €7/month. Built for B2B consultants and graphic designers.

Minimalist and ultra-fast interface. natural language for task creation ('tomorrow at 2pm'), powerful recurring dates ('every 2nd Tuesday of the month'). Integrations everywhere (Gmail, Slack, Calendar, Alexa). In practice: gTD: implement the Getting Things Done method with projects and contexts. Also: daily routine: manage your recurring tasks (emails, invoicing, prospecting). Estimated time saving: 3h/month.

Keep it if: you just want to take notes and check boxes or notion is too slow/complicated for you. Skip it if: you want to manage complex projects or you need linked documentation. Main limit: free version limited to 5 active projects. As soon as your brain becomes overwhelmed by small tasks you shouldn't forget.

    Practical uses

    Pros and cons

What Todoist does especially well — and the limits to anticipate.

    Pros

    • Generous free plan (5 projects really usable).
    • Todoist Assist AI included (Pro+).
    • Ultra-simple, zero learning curve.
    • Multi-platform (web, mobile, desktop).
    • Smooth real-time collaboration.

    Cons

    • Free plan is restrictive (only 5 projects).
    • No Gantt chart or visual planning.
    • Business plan per-seat (pricey for large teams).
    • Limited automation capabilities.

    Todoist: when it makes sense.

Todoist works for personal and small-team task management; for complex projects, a full PM tool is better.

    Keep if

You need a simple, fast task management app.. You collaborate with a small team.

    Todoist becomes worthwhile when
    • You use it at least once a week
    • The monthly cost (€5) is small next to the time it saves you

    Challenge if

You need heavy project management (Gantt, resource allocation).. Free plan with 5 projects is enough for you.

    Todoist becomes too expensive when
    • You use it less than once a month
    • todoist (free) already covers the essentials for occasional use

    Our verdict on Todoist.
