    Our take

    Understanding Smartsheet.

Smartsheet looks like a spreadsheet but works like a project management tool: Gantt, calendar and Kanban views, forms, and 250 monthly automations from the Pro plan up. Business removes the user cap and adds unlimited storage and no-code portals (WorkApps).

The real price jump sits between Pro and Business: Business costs over 3.5x Pro. For a small team that doesn't need client portals or automated external data import, Pro is plenty.

    Practical uses

    • Multi-project portfolio and PMO management.
    • Workflow automation and repetitive tasks.
    • Cross-team resource planning.
    • Executive reporting and dashboards.

    Smartsheet: when it makes sense.

Smartsheet for organizations managing multiproject portfolios; for simple tracking or solo, a lighter tool suffices.

    Keep if

You manage multiple complex projects and portfolio.. You want to automate workflows and reporting.

    Smartsheet becomes worthwhile when
    • You use it at least once a week
    • The monthly cost (€8) is small next to the time it saves you

    Challenge if

You manage a single simple project.. Budget is very tight.

    Smartsheet becomes too expensive when
    • You use it less than once a month
    • A simple free version or a tool already in your stack would do

    Our verdict on Smartsheet.

    Why this verdict

    Decent

Smartsheet is fairly easy to replace with an alternative, a free tier to test before paying, clearly documented use cases.
